Please use the following checklist to ensure you arrive ready for the show​

• Have you paid your exhibitor/sponsor fee in full? 

• Have you booked your tickets? 

• Have you saved your ticket digitally to your phone? 

• Have you received your exhibitor pitch reference number? 

• Have you ordered a gazebo, pitch furnishings and/or electricity?

• Have you booked your camping/accommodation?

• Have you emailed a copy of your exhibitor risk assessment and insurance? 

• Have you packed a printed copy of your risk assessment to take to the event? 

• Have you planned your journey to ensure you arrive with adequate time?

Reminder of some important dates before the show
28th July: Deadline for ordering gazebo, furniture, electricity
26th August: Deadline for sending speaker presentations via email
29th August: Deadline for paying invoices/outstanding payments
1st Sept: Deadline for sending risk assessments and insurance documents via email
5th Sept: Please email us to let us know your approximate arrival time

 

Arrival times for setting up exhibitor stands

9th Sept (7am - 10pm): The site will be open from 7am to 10pm to exhibitors.

• Exhibitor pitches must be constructed and secured in preparation for a site inspection at 5pm.

• Please email info@agroforestryshow.com to confirm when you are likely to arrive. 

• On arrival at the site, exhibitors will be directed to the loading area by a member of staff. Please note this area is for loading only, and you will be required to park your vehicle in the main car park for the duration of the show, which will be reserved adjacent to the event field.

9th Sept (5pm): All pitches must be constructed for a site inspection at 5pm.

• Any structures must be adequately secured and tied down within your pitch area for a site inspection at 5pm on Tuesday 9th Sept.

9th Sept (10pm) - 11th Sept (6pm): No vehicle access on site during this time.

• There will be no vehicle access onto the event field after 10pm on 9th Sept or during the day on show days (Wednesday 10th and before 6pm on Thursday 11th Sept).

​11th Sept (6pm) - 12th Sept (4pm): Vehicles are permitted back on site  

• Vehicles are permitted back on site to dismantle exhibitor stands from 6pm on Thursday 11th Sept to 4pm on Friday 12th Sept.
   

Event timings and public access

• The show site is open to the public from 7am on the 10th and 11th Sept.  

• Exhibitors and sponsors are requested to be on-site by 7.00am on both days.

• On the 10th Sept, the Opening plenary is at 09:30 followed by the first speaker session at 10:00.

• On the 11th Sept, first speaker session are at 09:00 with the Final Plenary at 16:30. 

 

Packing-down and exiting the site 

11th Sept (5pm): The Agroforestry Show officially closes at 5pm.

• Visitors leaving the site by car on the 11th Sept will be given vehicle priority between 5pm and 6pm. Exhibitor vehicles are permitted on site at 6pm.

• Exhibitors are welcome to dismantle their pitches anytime from 5pm-8pm on Thursday 11th and again from 7.30am until 4pm on Friday 12th Sept.

12th Sept (4pm): All areas clear

• All exhibitors must have fully vacated Woodoaks Farm by 4pm on Friday 12th Sept and are responsible for taking all of their own litter and equipment.
